When do you use the online web (application)form?     
Every employee of NHTV who is planning to include material (long and/or short citations) such as text, images, photos, and so on in a paper reader), has to fill out a form. The data on this form will be used by the Copyright Information Point to ask permission for long citations (see criteria) if these are included in the paper reader. And secondly the data on the form will be used by “Cannon Print on demand” to determine the publishing requirements of the paper reader.

Why might permission be required for the use of some materials?
NHTV is legally obliged to keep records on which copyrighted material is placed by its employees in readers. These records have to be shared with Stichting Pro, the interest group for publishing companies in the Netherlands. In  some cases (e.g. when a substantial amount of material is taken from copyright-protected works) NHTV has to ask Stichting Pro for permission, and also has to pay a fee for making the material available for its students.  

How long will it take before permission is granted?
On average, you will be informed of whether your standard request has been granted or refused within 1 or 2 working days.

What is the cost involved in the use of material for which permission has been granted?
Upon granting permission, Stichting Pro will propose a fee (based on the number of pages). This amount will be multiplied by the amount of copies that are sold of this reader. This calculation is done quarterly by Stichting Pro. 

Please bear in mind that the budget holder of your academy/study programme has to approve the fee that Stichting Pro asks for the use of the material.
After having received permission, you will have 1 week to cancel your request free of charge but only if you have not published the material yet. If you don’t use the material, and fail to cancel your request within this 1 week, Stichting Pro will charge NHTV the fee anyway.

How long will I be permitted to use the material I have published after having been granted permission?
After  every permission granted (for a long passage being copied) by Stichting Pro, the period of validity of publication will be 1 year. After 1 year, permission will have to be requested again by means of the web form. The library will send you a reminder email when you permission period is about to expire.
